Terms & Conditions
By booking accommodation at Yandina Station, you (“Guest”) agree to the following terms, covering both wedding/event and general bookings.
- Booking Eligibility & Priority Access
- Accommodation is exclusively reserved for wedding/event guests up to four months (120 days) prior to the event. After that period, any unbooked units are released to the public.
- A minimum two-night stay applies unless otherwise agreed.
- Check‑In / Check‑Out
- Check-in: from 2:00 PM on the day of arrival.
- Check-out: by 10:00 AM on the day of departure.
- Late departures without prior approval may incur an additional charge or a full extra day’s rate.
- Payment, Currency & Fees
- Booking fees, deposits or final payments must be paid in full at the time specified.
- All amounts are quoted and processed in Australian Dollars (GST inclusive).
- Where applicable, credit card payments incur a 1.6 % service fee.
- Bookings are provided on a non-transferable basis and cannot be sublet.
Identification & Payment Verification
- The primary booking guest must present valid government-issued photo identification (such as a driver’s licence or passport) and a credit card in the same name at check-in.
- If the booking is made under an approved company name, a letter of authority or matching company credit card must be provided.
- Yandina Station reserves the right to refuse check-in if satisfactory identification or payment verification cannot be produced.
- All charges, including incidentals or damages, will be processed to the credit card provided at check-in unless alternative arrangements are approved in writing.
Credit Card Pre-Authorisation
- Yandina Station reserves the right to pre-authorise a valid credit card at or before check-in to cover any incidental charges, damages, or outstanding balances.
- The pre-authorisation amount is not a charge but a temporary hold on funds. The held amount will be released by the guest’s financial institution in accordance with its processing timeframes after check-out.
- If the credit card declines or the pre-authorisation cannot be obtained, an alternative payment method will be required prior to check-in.
- Cancellation & Refund Policy
- Cancellations and refunds are governed by Yandina Station’s Accommodation Cancellation Policy, as published on our website and provided at the time of booking. https://yandinastation.com.au/accommodation/cancellation-policy/
- Change of Date
- Date changes requested more than 30 days before arrival may incur an administrative fee and are subject to availability.
- Changes requested within 30 days are treated as a cancellation and then rebooking.
- Wedding Cottage Block Booking Policy
- Wedding couples may reserve a block of cottages (minimum 10) for their guests at a discounted rate for a two-night stay.
- Block bookings form part of the couple’s wedding agreement, with the couple responsible for collecting payments from their guests.
- The full balance of the block booking will appear on the couple’s final wedding invoice, due two (2) weeks prior to the wedding date.
- Once a block booking has been confirmed and allocations commenced, the number of cottages cannot be reduced.
- Cottages not secured as part of a confirmed block will remain available to the public and may be booked on a first-come, first-served basis.
- Block bookings provide wedding guests with exclusive access and the best available rate, guaranteeing cottage availability for the wedding group.
- Wedding cottage block bookings form part of the wedding agreement and are subject to separate conditions that override general accommodation cancellation terms.
- Occupancy & Guest Behaviour
- Only guests listed at the time of booking may occupy the accommodation.
- Occupancy limits must not be exceeded unless approved in writing by management. No day visitors, parties or unscheduled gatherings are permitted unless approved in writing.
- Noise curfew from 10:30pm – 7:00am is strictly enforced.
- Guests are expected to conduct themselves in a manner that respects staff, other guests and the property.
- Property Use, Inspection & Access
- Yandina Station may enter or inspect accommodation during a guest’s stay, with reasonable notice for safety, maintenance, or compliance purposes, or without notice where a breach or emergency is suspected.
- Bookings are strictly for holiday/family use—commercial use or activities require prior approval and may attract surcharges.
- Damage, Cleaning & Smoke Policy
- The primary booking guest is responsible for any costs resulting from damage, lost keys, excessive cleaning, smoking in prohibited areas, or unauthorised late check-out.
- Charges may be processed to the credit card on file after check-out, with notice provided and an itemised breakdown available upon request.
- Smoking is not permitted inside cottages, on decks, or in shared or common areas. A cleaning fee will apply if evidence of smoking is detected.
- Safety & Supervision
- For your safety, please remain within the designated guest areas of the property at all times.
- Access to paddocks is strictly prohibited under all circumstances.
- Yandina Station is a working property with livestock, machinery, and natural hazards; declared areas are designated for your protection.
- Children must be closely supervised at all times.
Access During Wedding Ceremonies
- To protect the privacy of wedding parties and ensure guest safety, Yandina Station may temporarily close the main entry road during ceremony times. These closures are generally brief and occur only while a ceremony is taking place. Guests staying on-site are kindly asked to plan their arrivals and departures outside of these periods wherever possible. Our team will communicate any expected closure times in advance and provide assistance if access is required during this time.
- Pets
- Pets are not permitted on-site unless previously agreed in writing.
- Approved pets for wedding ceremonies are not permitted to stay overnight in accommodation.
- Liability & Indemnity
- Guests release and indemnify Yandina Station (and its staff) from any liability for personal injury, damage, loss or theft during their stay.
- If a guest’s behaviour is determined to be dangerous, disruptive or non-compliant, the group may be asked to depart with no refund or credit.
- Privacy
- We collect personal information to manage bookings, provide services, and communicate with guests.
- This information, including identification and payment details, is securely stored and may be used for marketing updates (you can opt out anytime).
- Yandina Station does not share personal details with third parties except where required to deliver services or comply with legal obligations.
- Changes to Terms
- Yandina Station reserves the right to update these Terms & Conditions in response to operational or regulatory changes.
- At the time of booking, the Terms and Conditions in effect are those that will apply.
